How to Add an Attendance Letter Setting

Click the Options Menu, verify the Site in which you want to work is selected in the Site Drop Down List Box.

 

Then click Site Advanced Setup.

 

Click the Attendance Letter Settings Tab.

 

Click next to the Attendance Letter Settings Grid.

 

The Attendance Letter Settings Form will appear.

 

Input specifications are as follows:

 

Name: Enter a Name for the Attendance Letter.

 

Begin Date: Use the Drop Down Calendar Box or type to enter the Begin Date for the Attendance Letter.

 

End Date: Use the Drop Down Calendar Box or type to enter the End Date for the Attendance Letter.

 

Check the Print Attendance Detail on Letter Check Box if you would like the Attendance Detail to print below the Attendance Summary section of the letter.

 

The Notify for Each New Level Check Box is checked by default. When you process the Attendance Letter Calculation, a Student will be selected each time they reach a new level based on the Count Method (Period, Section, or Course). If the Check Box is NOT checked, a Student will be selected only the first time they reach a new level based on the Count Method.

 

Count Method: Use the Drop Down List Box or type to enter the Count Method.

 Period--When you process the Attendance Letter Calculation, a Student will be selected based on the

 count for each period.

 

 Section--When you process the Attendance Letter Calculation, a Student will be selected based on the

 count for each Section.

 

 Course--When you process the Attendance Letter Calculation, a Student will be selected based on

 the count for each Course.

 

 Day--When you process the Attendance Letter Calculation, a Student will be selected based on the count for the Day Absent.

 

 Day Consecutive--When you process the Attendance Letter Calculation, a Student will be selected based on the count for Consecutive Days Absent.

 NOTE: The Day and Day Consecutive methods will select Students that meet the Area Count when they are absent for the Day. A Day is considered all the Periods included in the Attendance Letter Setting. The Day  Consecutive will only select those Students when the Days are consecutive days taught.

 

Period: If you selected Period for the Count Method (above), check the applicable Check Box(es). If you selected Day or Day Consecutive for the Count Method (above), check ALL Periods.

 

Click to save the Attendance Letter.

 

Click to save the Attendance Letter and add another.
