Beginning of Year Checklist

 

Tasks to perform:

 

From the i-SI Main Form/Options Menu/LEA Setup/LEA/Settings/Gradebook

             A. Select the current School Year for the Instructor Max School Year To View and Save.

             B. Select the current School Year for the Guardian Max School Year To View and Save.

             C. Select the current School Year for the Student Max School Year To View and Save.

             D. Select the current School Year for the Student Records Portal Max Year To View and Save.

 

From the i-SI Main Form/Options Menu/LEA Setup/School Year

             A. Select the current School Year.

             B. Select Sessions.

         a. Validate Begin and End Date of each Session.

         b. Validate the Selected Grading Periods are selected for each Session.

             C. Select Periods.

         a. Validate and adjust the Begin Time and End Time for EACH Period.

             D. Select Calendar Events.

       NOTE: Calendar Events should only be entered in either LEA Setup OR Site Setup.

                 Create, Edit, or Delete Calendar Events.

         a. Validate or enter Calendar Events, if applicable.

         b. Validate the Description for each Calendar Event.

         c. Validate the Event Date.

         d. Validate the Event Begin Time and Event End Time for each Calendar Event.

         e. Validate the Calendar Exception Code for each Calendar Event.

 

          From the i-SI Main Form/Options Menu/Site Setup

  A. Select a Site.

       a. Edit the Last Day Of First Quarter.

       b. Adjust Graduation Date for High School Sites only.

                 c. Validate Lunch Minutes.

       d. Validate Provision Status.

       e. Validate Title 1 Status.

       f. Validate SIF Reported.

 B. Select Contact/Events.

       a. Validate each Office Contact has been entered, along with an Address, Phone, and Email.

           C. Select Calendar Events.

     NOTE: Calendar Events should only be entered in either LEA Setup OR Site Setup.

               Create, Edit, or Delete Calendar Events.

       a. Validate or enter Calendar Events, if applicable.

       b. Validate the Description for each Calendar Event.

       c. Validate the Event Date.

       d. Validate the Event Begin Time and Event End Time for each Calendar Event.

       e. Validate the Calendar Exception Code for each Calendar Event.

           D. Select Grades.

       a. Validate the Selected Grades are the only grades offered at the Site.

           E. Select Periods.

       a. Validate the Selected Periods.

       b. Edit and rename the Selected Periods’ Names, if applicable (i.e., change from 105-1-7 to 1.)

           F. Select Day Segments.

       a. Validate the Grade Day Segments and the Max Absences for each Grade level.

           G. Select Instructors.

       a. Validate the Selected Instructors.

       b. Delete inactive Selected Instructors.

       NOTE: If Staff Assignments exist, delete the inactive Instructor’s Staff Assignment first, and then delete the inactive Instructor(s).

           H. Select Staff Asssignment.

       a. Validate and update Active Instructors’ Staff Assignments.

 

          From the i-SI Main Form/Options Menu/Site Advanced Setup/Grading Evaluation Schedules

  A. Select a Grading Evaluation Schedule.

       a. Select a Grading Evaluation Schedules Details.

       b. Validate the Description, Grading Period, and the Grade Eval Schedule Code.

       c. Edit the Calculation Date, Begin Display Date, and End Display Date of each Grading Evaluation Schedules Details.

       NOTE:  Begin Display Date: Enter the first date you would like for the grades to display in i-GB.

       End Display Date: Enter the last date you would like for the Grade to display in i-GB. After this date, the Grade will not be viewable in any of the i-GB portals or reports such as the Section Grade Listing. Calculation Date: Enter the date you

       would like to allow instructors to begin calculating grades for the  grading period.

                 d. Delete any details in which a recorded grade will not be calculated.

                 NOTE: Grade Evaluation Schedules Details CANNOT be deleted after assignments have been scored.

 

From the i-SI Main Form/Options Menu/Site Advanced Setup/Grading Calculation Settings

NOTE: Do NOT Create a Grade Calculation Setting for Semester Test.

 A. Select a Grade Calculation Settings.

       a. Validate each Grading Period.

       b. Delete Grade Calculation Settings for any Grading Period that you will not be recording a calculated grade.

 

From the i-SI Main Form/Options Menu/LEA Tools/Pay Status Import

 A. Browse to find file.

       a. Import.

 

NOTE: Complete this task for any student that has NOT returned to the district in the current fiscal year.

From the i-SI Main Form/Student Maintenance

NOTE: When a student's Yearly Record is deleted, all current year information will be deleted. If an assignment is scored, the Instructor must remove the assignment’s score before the record can be deleted.

 A. Select a Student.

       a. Select Tools/Reports.

                      1. Select Tools.

                      2. Select Delete Yearly Record.

 

From the i-SI Main Form/Options Menu/Site Tools/Update Home Room

NOTE: Only perform this once the student’s section enrollments are added and DO NOT perform if a Home Room has already been entered.

 A. Select the appropriate student(s) using the Student Selector.

      a. Select the appropriate Date For.

      b. Select the Period.

      c. Select the Home Room Value.

      d. Select Update Home Rooms
